About the top pane if a file, binder, or link is selected

The following information is shown if a file, binder, or link is selected in the asset tree.
  • State
    Whether the asset is checked out or checked in.
  • Description
    An optional description of the file, binder, or link (for example, The bottling plant's east conveyor).
  • Store latest version only
    Automatically delete any previous versions of the asset the next time the asset is edited. The previous versions will not be preserved, but the history will be preserved.
    Required security permissions: To store only the latest version of a file, you must have
    Set Store Latest Version
    permission.
  • Maximum number of versions
    The maximum number of versions per asset in Archive. The
    Maximum number of versions
    check box is not selected by default. You must have
    Configure Database Limitations
    permission to configure the maximum number of versions per asset in Archive.
    • Current version total
      (Read-only) Shows the number of current archive versions.
    • Total disk usage
      (Read-only) Shows the total disk usage of the asset.
      If the number of archive versions exceeds the value you specified in
      Maximum number of versions
      , the oldest version (excluding version 1 and the version labeled as incremental checkpoint) is deleted. Version 1 will always be kept. The deleted file versions appear dimmed.
      IMPORTANT:
      The first and last versions cannot be deleted.
      If you set the value of
      Maximum number of versions
      as 1, the first and last versions are always kept.
      If you set the value of
      Maximum number of versions
      as 0, the version number is unlimited.
